Student Contract and Terms and Conditions

1. Purpose and scope
This is the contract between LIBT and a student on an Academic programme (see the Glossary, LIBT Quality Glossary). It covers fees, refunds, withdrawal, and the other terms a student needs before accepting a place. It does not cover Professional Certificate or Executive Development provision, which is contracted separately.
LIBT does not discriminate on the basis of age, race, religion, colour, national origin, sex, or disability in admission or throughout study.
Where LIBT proposes a material change to this contract or to a programme's structure after a student has enrolled, it gives the student reasonable advance notice of the change and of how it may affect them. This means a student is never left to discover a change has already taken effect.
2. Fees
- The registration fee covers administrative costs of the admissions process. These costs are incurred, and the service is delivered, before the tuition contract begins. The fee is a separate, already-rendered service. It is non-refundable, including during the cancellation period at section 7.2.
- The tuition fee and any additional costs (for example an awarding body's own registration or examination fee, or required materials) are set out in full in the student's offer letter and on the relevant programme's website page before the student accepts their place.
- LIBT will not increase a tuition fee part-way through a student academic year for a student already enrolled. Any fee increase applies only to new students enrolling after the increase is announced.
- All fees must be settled before LIBT releases a final award certificate.
3. What LIBT delivers, and what a partner university delivers
Where a student progresses to a partner university under a progression or agency agreement (see the Glossary for these terms), LIBT is the delivering institution for its own Diploma only. The university is the delivering institution, and the awarding body, for the top-up, master's, or doctoral stage. LIBT does not teach, assess, or award the university's qualification. This contract must not be read to imply otherwise. Fees for the university stage are paid directly to the university, not to LIBT, except where LIBT is expressly acting as the university's collection agent for that stage.
4. Studying online
All of LIBT's Academic programmes are delivered online. A student needs reliable internet access and a computer capable of running standard office software for the full duration of their programme.
5. Payment obligations
A student who falls behind on an agreed payment plan will be reminded before any further action is taken. Continued non-payment may lead to a late payment fee (at the rate published in the current fee schedule) and, in a sustained case, suspension of LMS access or deregistration. A student who is deregistered for non-payment and later wishes to resume pays the reinstatement fee published in the current fee schedule. They also follow the standard re-admission process under the Academic Regulations.
6. Withdrawal process
A student who wishes to withdraw completes the Programme Withdrawal Form. The Academic Registry processes the request and confirms the outcome in writing. The effective date of withdrawal is the date the completed form is received and processed, not the date the student stops attending.
7. Fees on withdrawal
7.1 General terms
Where LIBT discontinues a programme itself, section 8 applies instead of this section. Refunds are paid back to the original payer (the student or, where a sponsor paid, the sponsor) by bank transfer or cheque, never in cash. Any overpayment is refunded the same way. A student who has already enrolled at a partner university under a progression or agency agreement is not eligible for a refund of that university's own fees from LIBT. The university's own refund policy applies to that stage.
7.2 Cancellation period
A student may cancel within 14 calendar days of enrolling and receive a full refund of tuition fees paid. The registration fee is never refunded (see section 2). This applies regardless of the programme's start date, and no reason needs to be given. If the student has expressly asked for early access to the Learning Management System and has used it during these 14 days, the refund is reduced only by a fair value for the modules actually accessed, not withheld in full.
7.3 Refund after the cancellation period
After the 14-day cancellation period, a withdrawing student is refunded the proportion of tuition fees corresponding to the modules they have not yet accessed or completed, less the administrative fee set out in the current fee schedule. This reflects that a refund is due for services not yet provided, and that the fee already covers services the student has used.
7.4 Withdrawal for medical or compassionate reasons
There is no separate refund exception for medical or compassionate circumstances. A student facing this kind of circumstance during their programme should instead apply under the Special Consideration Policy for an extension or deferral, which addresses the underlying difficulty directly. If they still wish to withdraw, the refund is calculated under section 7.3 in the usual way.
8. If LIBT discontinues a programme
Where LIBT cannot continue to deliver a programme, it will take the following steps. It will help affected students decide whether to transfer to another LIBT programme or to another provider. It will offer a current student who does not wish to transfer an exit award reflecting what they have achieved. It will continue any scholarship or financial support a student holds under the Scholarship and Financial Support Policy if they transfer. It will provide a refund or compensation response suited to the individual student's circumstances.
9. Data protection
Personal data is held and processed under LIBT's Data Protection Policy.
10. Queries, appeals, and complaints
A student with a question about this contract should contact the Academic Registry, quoting their student ID. A student who disputes a decision made under this contract may raise it under the Academic Appeals and Complaints Policy.
11. Review
This document is reviewed annually by the Board of Directors. Any change must be checked against the Cross-Reference Map, in particular against the Recruitment and Admissions Policy, the Special Consideration Policy, and the Quality Framework Statement.
