Reasonable Adjustments Policy

1. Purpose and scope
This policy covers reasonable adjustments for a disability or long-term condition. A reasonable adjustment is a change made in advance to how a student accesses teaching or assessment. It is separate from the Special Consideration Policy, which covers short-term, often unforeseen circumstances affecting a specific assessment (see the Glossary, LIBT Quality Glossary, for the working distinction).
This policy applies to all students on LIBT-awarded, QUALIFI-awarded, and LIBT Malta-awarded programmes. No fee is charged for a reasonable adjustment.
2. What a reasonable adjustment is
A reasonable adjustment reduces the effect of a disability or long-term condition so a student can demonstrate their knowledge, skills, and understanding on the same basis as other students. Examples include extra time to complete an assessment, adapted materials (larger font, alternative formats), or assistive technology. An adjustment must not affect the integrity of what is being assessed. It changes how a student accesses the assessment, not what standard they are held to.
Not every adjustment is possible for every course. What is reasonable depends on the individual student, the specific learning outcomes and any competence standards that must be met, cost, and practicality. Where a requested adjustment cannot be made, the student is told why in writing and signposted to the Special Consideration Policy or the Academic Appeals and Complaints Policy as relevant.
3. Requesting a reasonable adjustment
Identification starts at admission. The Admissions team asks every applicant whether they have a disability or condition that may require adjustment, so planning can begin before the student starts. A student may also request an adjustment at any later point, either by contacting the Reasonable Adjustments Coordinator (see section 5) directly, or via their tutor. A tutor will refer the request onward within 2 working days.
Requests relating to a specific assessment should be made at least 15 working days before that assessment, to allow time to arrange the adjustment properly. A request made later than this will still be considered. However, LIBT cannot guarantee an adjustment can be arranged in time if the request is made close to the assessment date.
4. Evidence
Students are asked to provide supporting evidence of their disability or condition (for example, a medical letter, an existing diagnosis, or an assistive-technology assessment) using the Reasonable Adjustment Request Form (Appendix). Where evidence is not readily available, the Coordinator will still consider the request and may put an interim adjustment in place while evidence is gathered.
5. Decision-making
Decisions on reasonable adjustments are made by the Reasonable Adjustments Coordinator, not by an individual tutor. This ensures requests are treated consistently across students and courses. The Coordinator:
- reviews the request and any evidence;
- confirms the adjustment with the relevant Awarding Body where the adjustment affects assessment, before the assessment takes place;
- records the adjustment on the student's record so it applies consistently across the programme without the student needing to re-request it each time; and
- confirms the outcome to the student in writing, including reasons if the request is declined or only partially met, within 10 working days of receiving a complete request, or sooner if the 15-working-day assessment window in section 3 would otherwise leave too little time to arrange an agreed adjustment.
6. Appeal
A student who disagrees with a decision under this policy may appeal under the Academic Appeals and Complaints Policy.
7. Review
This policy is reviewed annually by the Academic Board. Any change must be checked against the Cross-Reference Map, in particular against the Recruitment and Admissions Policy, the Special Consideration Policy, and the Academic Appeals and Complaints Policy.
