IT Policy

Read the latest version of the it policy adopted by the London Institute of Business and Technology.

1. Purpose and scope

This policy sets out the acceptable use of LIBT's IT systems, network, and email, for all staff, students, and affiliates who access them. It uses the data protection terms defined in the Glossary (LIBT Quality Glossary). It sits alongside LIBT's Data Protection Policy, which governs personal data specifically.

2. Account security

Users keep their login credentials confidential and do not share them. They change their password if they suspect it has been compromised. Access to LIBT systems requires a unique login issued by the IT department.

3. Email and communication

LIBT email is for professional, academic, and administrative communication. Users verify a sender before acting on a link or attachment. Users do not send profanity, hate speech, spam, or discriminatory content. Confidential information is never sent unencrypted. Recipient addresses are checked before sending sensitive data.

4. Internet, devices, and equipment

  • Internet access is for academic, administrative, and research purposes. Personal browsing should not interfere with work or study, and may be restricted if excessive.
  • Personal devices connected to LIBT systems must have up-to-date antivirus protection. Sensitive information is not stored on personal devices. A user logs out and clears any cached data after using LIBT resources on one.
  • Mobile phones are silenced during lectures, meetings, and seminars.
  • LIBT equipment is used responsibly. System settings are not changed without IT department authorisation.

5. Data, copyright, and confidentiality

Work is saved to LIBT-provided storage, not unauthorised external devices, and is backed up. Copyright is respected. Copyrighted or pirated material is not downloaded, installed, or distributed without authorisation. Confidential information is stored securely and disclosed only with proper authorisation. Personal data is processed in accordance with LIBT's Data Protection Policy.

6. Reporting

Suspicious activity, a suspected phishing attempt, or any other potential breach is reported to the IT department immediately, at support@libt.co.uk.

7. Access to user files

Only authorised personnel may access another user's files, and only for maintenance, security, or compliance purposes.

8. Breach of this policy

A breach of this policy by a student is handled under the Assessment Malpractice Policy where it affects assessment integrity, or otherwise under the Academic Appeals and Complaints Policy's complaint route. A breach by a staff member is handled under the Staff Conduct, Grievance, and Whistleblowing Policy.

9. Review

This policy is reviewed annually by the Board of Directors. Any change must be checked against the Cross-Reference Map, in particular against the Staff Conduct, Grievance, and Whistleblowing Policy.
